This Privacy Policy explains how RINGHOUSE LTD ("Ringhouse", "we", "us") handles personal information when you visit ringhouse.ai, use the Ringhouse app at app.ringhouse.ai or our mobile and desktop apps, or call or text a phone number that a business runs on Ringhouse.
Ringhouse is a business phone system: calls, text messages, a shared inbox and an AI receptionist for teams.
Who we are
RINGHOUSE LTD is a private limited company registered in Ghana (company number CS216180925). Our registered office is House No. 2, 2 Cucumber Street, Haatso, Accra, Ga East, Ghana (GhanaPostGPS GE-294-6004).
For account information, billing and our website, we decide how and why personal information is used, so we are the controller. For the calls, messages, recordings and contacts a business handles through Ringhouse, that business is the controller and we process the information on its behalf and on its instructions. If you called or texted a business that uses Ringhouse and have a question about your information, contact that business first. We will help it respond.
Information we collect
- Account information. Your name, email address, password, business name, the people you invite to your team and your settings.
- Phone numbers. The numbers you buy, port or connect to Ringhouse, the numbers you call and text, and the numbers that call and text you.
- Call and message content and metadata. The text messages you send and receive, and for calls and messages: who took part, when, how long, delivery status, and routing such as which teammate answered.
- Recordings and transcripts. Call recordings, voicemails, transcripts and AI summaries, where you or your team have turned these features on.
- Contacts and notes. Contacts you add or import, and the notes, comments and assignments your team adds to conversations.
- Billing information. Your plan, invoices, billing address and payment details. Card details are collected and stored by our payment processor, not by us.
- Compliance information. Details carriers and regulators require before a number can be used, such as business registration and address details, and records of text messaging consent and opt-outs.
- Device and usage data. IP address, browser and device type, operating system, app version, crash reports, call quality statistics, and how you use the app and website.
- Messages to us. Anything you send us when you contact support or sales.
How we use it
- To provide Ringhouse: connect calls, deliver text messages, show your inbox, record and transcribe calls where enabled, and run the AI receptionist.
- To set up and verify accounts, phone numbers and text messaging registrations with carriers and regulators.
- To bill you and keep financial records.
- To keep the service secure and reliable, prevent fraud, spam and abuse, and fix problems.
- To send you service messages, such as verification codes, security alerts and account notifications.
- To improve the product, using usage data that is aggregated or cannot be tied back to you where possible.
- To comply with the law and respond to lawful requests.
Where UK GDPR applies, we rely on performing our contract with you, our legitimate interests in running a secure and working service, compliance with legal obligations, and your consent where we ask for it.
Text messaging
We use your mobile number to send the text messages you have asked for, such as verification codes and account notifications, and to deliver the conversational messages your business sends and receives through Ringhouse.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
You can reply STOP to any message to opt out, and HELP for help. See the text messaging section of our Terms of Service for the full program terms.
Who we share it with
We do not sell personal information. We share it only with the service providers (sub-processors) that help us run Ringhouse, and only what they need:
- Telecom carriers and communications providers, such as Twilio, that connect calls and deliver text messages.
- Cloud hosting and infrastructure providers that run our servers and store our data.
- Our payment processor, which takes payments and stores card details.
- AI providers that transcribe calls, produce summaries and power the AI receptionist.
- Email and support tools we use to send service email and answer you.
We require these providers to protect the information and to use it only to provide their services to us. All of the categories above exclude text messaging originator opt-in data and consent, which is never shared with third parties.
We may also disclose information when the law requires it, to protect the rights and safety of our users or the public, or as part of a merger or sale of our business, in which case this policy continues to apply to it.
How long we keep it
We keep account information for as long as your account is open. Call records, messages, recordings and transcripts are kept while your account is open unless you or your team delete them sooner. After an account closes we delete or anonymise its data within a reasonable period, except where we must keep it longer.
We keep billing records for as long as tax and accounting law requires, and records of text messaging consent and opt-outs for as long as we need them to show we have honoured them.
How we protect it
We encrypt data in transit, restrict access to the people who need it to run the service, and monitor our systems for misuse. No system is perfectly secure, so if a breach affects your information we will tell you and the relevant authorities as the law requires.
Your rights
Depending on where you are, including under UK GDPR and Ghana's Data Protection Act, 2012 (Act 843), you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- have your information deleted;
- object to or restrict how we use it;
- receive your information in a portable format;
- withdraw consent at any time, where we rely on it.
To use any of these rights, email samuel@ringhouse.ai. We will respond within the time the law allows. If your request concerns information a business holds about you through Ringhouse, we will pass it to that business.
You can also complain to a data protection authority: in Ghana, the Data Protection Commission; in the UK, the Information Commissioner's Office.
International transfers
We are based in Ghana and our providers operate in several countries, including the United States, the United Kingdom and the European Union. Your information may be processed outside the country you live in. Where we transfer personal information out of the UK or Ghana, we use the safeguards the law requires, such as adequacy decisions or standard contractual clauses.
Children
Ringhouse is a service for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy as the service changes. We will post the new version here with a new effective date and, if the changes are significant, tell account owners by email or in the app before they take effect.
